Job Description

The Manager of Health Information Management (HIM) Document Management leads the daily functions of the department's scanning operations. Reporting directly to the Senior Dir of Health Information Management (HIM) Operations, this role also works collaboratively with various members of the Health Information Management (HIM) team and Inova Clinical Departments and ambulatory sites and clinics in the accurate and efficient processing of information to be uploaded into the patient's medical record in support Inova Health’s clinical operations. The Manager of Health Information Management (HIM) Document Management manages the central quality review process of scanned records to ensure accuracy and provides feedback and education. This includes responsibility for managing the document imaging interface error and document correction queues to ensure proper resolution of errors in the scanning process.

Job Responsibilities
  • Manages the team that performs manual Media Manager/Edit Enter Results uploads on order level documents that fall outside of the standard of Inova lab interface workflow.
  • Manages the team that work queue of scanned documents submitted by Inova Health staff directly via Epic for correction and resolves issues in a timely manner.
  • Manages the team that works the work queue of interface errors between the document imaging software and Epic applications and corrects any documents that were not successfully passed between the applications for viewing within Epic.
  • Serves as the first line of End User Support to Inova Health clinical staff regarding inquiries on scanning business rules, document classification, or other operational procedures. These inquiries are submitted via ServiceNow, email or phone.
  • Performs Quality Assurance within the patient health record on all Advance Care Planning and Legal documents to identify and correct invalid, misfiled or duplicate documents. The Manager will be responsible for ensuring that these documents are clearly defined for the clinicians to use when making medicolegal decisions.
  • Provides direction to the Inova Health Scanning vendors regarding questions of patient identity, appropriate visit selection, unknown document types, and other items that would impede them from processing work in a timely manner.
  • Attends required trainings to keep up to date with the latest information systems and imaging functionality.
  • Provides support to the Healthcare Information Management (HIM) Team in identifying areas for improvement in the scanning workflows to ensure operational efficiency. Works on special projects or clean-up initiatives in support of clinical documentation standardization efforts as well as other related duties as assigned by supervisor and/or team lead.

Additional Requirements


High School or GED


Five years of relevant work experience, previous work in a healthcare area


-Knowledge of medical terminology through work experience or education is required.

-Strong computer skills required, including knowledge of Microsoft Office, especially Excel.

-Ability to read and comprehend medical documentation to accurately classify documents.

-Strong interpersonal and customer service skills.

-Ability to work independently and in a group/team setting.

- Ability to perform repetitive tasks for extended periods of time while maintaining a high level of concentration.

-Ability to manage multiple tasks and priorities simultaneously.

-Ability to adapt to shifting priorities in support of clinical and business operations.

-Excellent verbal and written communication skills are required.

-Excellent critical thinking skills, systems thinking, and problem-solving skills are necessary.
