Job Description

The Corporate Leave and Disability Administrator is responsible for leave of absence cases, the administration and management of leave of absence policies and case management work flow of the third-party leave and disability administrator. This position will ensures compliance with federal, state and local regulations, notifications and documentation requirements, and Inova policies and procedures. The Corporate Leave and Disability Administrator will provide information to leave of absence and disability questions from attorneys and staff regarding leave of absence and disability policies, eligibility, state disability and FMLA and other leave programs.

Job Responsibilities
 
  • Serves as the subject matter expert for medical and family leaves, short-term and long-term disability, parental leave and other leave programs.
  • Serves as the subject matter expert for coordinating leaves with benefit plans and collection of premiums while team members are on leave.
  • Manages the daily operations of the third party leave and disability administrator (TPA), including escalations from Human Resource Business Partners, coordinates and resolves efforts with TPA.
  • Monitors and manages case resolution with TPA within performance standards.
  • Establishes, coordinates and implements leave and disability policies and procedures and recommends enhancements to policies.
  • Assists in the design and implementation of new LOA policies and programs.
  • Ensures all leave processes are documented and adhere to policy and compliance standards.
  • Receives and responds to questions from Human Resources Business Partners.
  • Provides education and support to Human Resources Business Partners and others to assist with the management of protected absences and accommodations.
  • Advises manager of observed trends, potential problems or critical issues to troubleshoot problem areas before they escalate and interfere with benefit efforts.
  • Creates presentation materials and makes presentations as necessary.
  • Supports leave management projects as needed.
  • Coordinates with Payroll team for employee wages, taxes and state off-sets, and PTO accruals to ensure timely, and accurate pay.
  • Performs data entry of leave of absence and benefit information into the human resources information system, time & attendance, and payroll systems.
  • Produces and manages reporting metrics and analytics for all leave cases.
  • Delivers exceptional customer experience, resulting in a high level of customer satisfaction.



Additional Requirements

Education:

Bachelor’s degree.  HR, Business, or related field. Certification in leave and absence management may be considered in lieu of bachelor’s degree.

Experience:

3 years’ experience in leave and absence administration for a large employer (5,000+ employees

Skills:

-Working knowledge of federal, state and local disability regulations regarding eligibility for leave, including, FMLA, HIPAA, ADA and Worker’s Compensation.

-Comprehensive knowledge of the terms and conditions of health and welfare plans, including short-term and long-term disability plans.

-Ability to interpret plan documents, provisions, and governing laws/regulations; and appropriately apply in administration of applicable plans and/or areas of responsibility.

-Strong organizational skills needed to manage time well, prioritize effectively, and handle multiple deadlines.

-Ability and discipline to work independently.

-Detail oriented, analytical self-starter.

-Exemplary level of compassion and customer service excellence while adhering to all benefit plan and company policies.

-Ability to maintain confidential information and act with the highest level of integrity, judgment, discretion, diplomacy, patience, and tact.

-Experience with HRIS/HCM/Payroll systems and leave management solutions are a plus.

-Proficient knowledge of Microsoft Office tools including Word, Excel, PowerPoint and Web Applications.

-Excellent skill in communicating effectively in English in written and verbal formats.

-Utilizes reasoning ability to define problems, collect data, establish facts and draw conclusions.

-Ability to present and clearly explain information to non-technical audiences and leadership.
